Terms and Cancellation Policy

1. Cancellation by client – The Club reserves the right to raise the following charges in the case of cancellation by the client for whatever reason. Within one week of event date – Full Event Fee. Within one month of event date – Half of Event fee. One Month or more notice – Balance waived.

2. Cancellation by the Club – The Club may cancel the booking – If the Club or any part thereof is closed due to fire, industrial dispute, act of god or by order of public authority. If the client becomes insolvent or enters into liquidation or receivership. If the client is more than thirty days in arrears with any payment to the club. If it might prejudice the reputation of the club. If the club stand to make a loss by insufficient numbers attending the function.

3. Deposits are non refundable.

4. Fourteen days prior to event, the client must provide the club with the following information. Arrival Time Programme of events Departure Time Special Requirements Where such information is not available. The Club shall be under NO obligation to meet specific requirements although it will endeavour to do so. If dates or size of bookings alter, revised rates may be applicable.

5. The Client assumes all responsibility for any and all damage caused by themselves or any of their guests. Loss of equipment and will be liable until the club are in possession of such items.

6. The Club reserves the right to judge acceptable levels of noise or behaviour of the client and guests. The client must take all steps necessary to prevent nuisance. In the event of failure to comply with Management requests, the club reserves the right to terminate the contract and stop the event without liability to give any refund of compensation

7. Affixing signs, displays and posters to walls and fixtures may only be carried out with permission from the club.

8. The Client should liase closely with the club, Fourteen days prior to event where numbers and special requests should be confirmed.

9. The Club does not accept responsibility whatsoever for loss of or damage to property of the client or there guests, particularly personal property left unattended in rooms

10. All licensing and Statutory Regulations to which the club are subject, including those relating to fire, entertainment and licensing must be adhered to.

11. Method of payment Where the Club has requested a deposit, the specified amount must be paid within seven days to secure the booking. The Club require full payment in advance; the Club must receive the specified balance at least fourteen days prior to the event. If the Club have agreed payment on arrival, it should be clearly understood that the function will not be allowed to proceed until payment has been made. Any outstanding charges should be settled before departure unless agreed by the Club. It is the client’s responsibility to ensure that all charges are settled in full before departing. Any unpaid balance may be subject to legal action without further notification. Where credit terms have been agreed, the account will be sent to client and must be settled within thirty days. Interest at 5% per month (or part thereof) will be charged on all remaining items unpaid after the due date.

12. Foods and Alcohol The client or guests must not bring food or alcohol into the club for consumption without written permission from the club. Due to food hygiene regulations any food prepared or cooked by Port Vale Football Club which is taken from the premises is done so at your own risk. Port Vale accept no responsibility whatsoever for this food once left the premises. In the event of a self catering function, Port Vale will not accept any responsibility whatsoever for the food or the outcome.

13. Parking all vehicles are parked at their owner’s own risk and the Club can accept no responsibility in respect of damage or loss.

14. Smoking - The venue is a non smoking site, under no circumstances must any client or guest smoke within the building, if found doing so, the function will be stopped or person ejected from the premises.

15. Due to damage to equipment, Table Confetti, Party cannons and such devices are not permitted to be used on the premises.
